Who we are

FLReception (“we,” “us”) provides an AI phone receptionist that answers calls on behalf of service businesses (“our customers”) and books appointments for the people who call them (“callers”). What we collect

• Caller phone number — captured automatically from the phone network so a booking can be made without asking for it.
• Call audio and transcript — what is said during the call, used to understand the request and book the appointment.
• Booking details — the name the caller gives, the chosen time, and the outcome of the call.
• Business account data — the contact and login details of our customers and their team.
• Basic technical data — standard logs needed to operate and secure the service.

Calls, recording & AI

Callers speak with an automated assistant, not a live person. At the very start of every call, before any information is collected, the assistant discloses that it is automated and that the call may be recorded. Continuing the call indicates consent to that recording. Florida is an all-party-consent state, and we design the service to meet that standard. See our Recording & AI Disclosure for detail.

How we use it

We use this information only to run the service: to answer the call, understand the request, offer real availability, book the appointment, and show our customer the resulting leads in their dashboard. We do not sell personal information, and we do not use call content to advertise to callers.

Who we share it with

We share data only with the vendors that make the service work, each acting as our processor:

• Telephony (Twilio) — to receive and route the phone call.
• Speech & AI (Groq) — to transcribe speech, understand it, and generate the assistant’s voice.
• Scheduling (Cal.com) — to read availability and create the booking.
• Hosting — infrastructure that runs and secures the application.

We may also disclose information if required by law, or to protect the rights and safety of people using the service.

How long we keep it

We keep call records and booking data for as long as our customer needs them to run their business, and only as long as necessary for the purposes above or as required by law. Customers can request deletion of records tied to their account.

Your rights

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, and to object to certain uses. To make a request, contact us using the details below and we will respond as required by applicable law.

Security

We use industry-standard measures to protect data in transit and at rest, restrict access to what is necessary, and keep credentials out of our source code. No system is perfectly secure, but we work to protect the information entrusted to us.

Changes

We may update this policy as the service evolves. When we make material changes, we will update the date at the top and, where appropriate, notify our customers.
